ATS-Friendly Resume: 10 Tips to Beat the Bots

75% of resumes are rejected by ATS before a human sees them. Here are 10 proven strategies to make sure yours gets through.

What Is an ATS and Why Does It Matter?

An Applicant Tracking System (ATS) is software that companies use to collect, sort, scan, and rank job applications. Over 98% of Fortune 500 companies and 66% of large companies use ATS software like Workday, Greenhouse, Lever, or Taleo.

ATS systems scan your resume for specific keywords, qualifications, and formatting patterns. If your resume doesn't match what the system is looking for, it's automatically filtered out—regardless of how qualified you actually are.

Tip 1: Mirror the Job Description Keywords

The single most important ATS strategy is keyword matching. Read the job description carefully and identify the key skills, tools, and qualifications mentioned. Then incorporate those exact phrases into your resume.

If the job description says "project management," use that exact phrase—not "managing projects" or "PM." ATS systems often look for exact matches. TechnCV's AI does this automatically by analyzing the job description and optimizing your resume keywords.

Tip 2: Use Standard Section Headings

ATS systems look for standard headings to categorize your information. Use "Work Experience" or "Professional Experience" instead of creative alternatives like "My Journey" or "Where I've Made an Impact."

Stick to conventional headings: Summary, Experience, Education, Skills, Certifications, Projects, Volunteer Experience.

Tip 3: Avoid Complex Formatting

Tables, text boxes, columns, headers/footers, and embedded images can confuse ATS parsers. Many systems convert your resume to plain text before analyzing it, and complex formatting creates a garbled mess.

Use simple bullet points (• or -), standard margins (0.5-1 inch), a single-column layout, and a widely supported font like Arial, Calibri, or Times New Roman.

Tip 4: Include Both Spelled-Out and Abbreviated Terms

Different ATS systems search for different variations. To cover your bases, include both the full term and its abbreviation. For example: "Search Engine Optimization (SEO)" or "Customer Relationship Management (CRM)."

This also helps when different recruiters set up different search patterns within the same ATS.

Tips 5-10: Advanced ATS Strategies

Tip 5: Save your resume as a .docx or PDF (check the job posting for preference). Tip 6: Use a standard file name like "FirstName-LastName-Resume.pdf."

Tip 7: Include your contact information in the body of the document, not in the header/footer. Tip 8: Use conventional date formats (e.g., "Jan 2024 – Present").

Tip 9: Don't stuff keywords—ATS systems can detect keyword stuffing and it will hurt your score. Tip 10: Tailor your resume for each application. A one-size-fits-all resume won't score well for specialized roles.
